Privacy Policy

How we collect, use, share and protect personal information — written in plain language, so you can understand what happens to your data when you use our products and services.

1. Who we are & the scope of this policy

Soluteck builds AI-powered software for individuals, businesses, institutions and governments. This policy explains how we handle personal information across our websites, products and services where it applies.

Some of our products are deployed and operated on a customer's own infrastructure or under their control. In those cases, that organisation is responsible for the personal information it processes, and its own privacy notice governs how your data is used. This policy covers the situations where we act as the party deciding why and how personal information is processed.

2. What information we collect

We collect information in three main ways:

Information you give us

This includes details you provide when you contact us, request a demo, create or use an account, fill in a form, or communicate with us — for example your name, email address, phone number, organisation, and the content of your messages.

Information we collect automatically

When you use our websites and products, we may automatically collect basic technical and usage information, such as your device and browser type, general location inferred from your network, the pages you view, and how you interact with features. Some of this is collected using cookies and similar technologies (see section 5).

Information from third parties

We may receive information about you from third parties, such as partners who refer you to us, organisations whose deployments you use, or providers that help us operate our services. We combine this only as needed to provide and improve what we offer.

3. How we use information

We use personal information to:

  • provide, maintain and improve our products and services;
  • respond to your enquiries and provide support;
  • keep our services secure and prevent fraud, abuse and misuse;
  • send you communications you have opted into, and important service or account notices;
  • understand how our services are used so we can make them better;
  • meet our legal, regulatory and contractual obligations.

We do not sell your personal information.

4. Legal bases for processing

Where the law requires a legal basis to process personal information, we rely on one or more of the following, depending on the context:

  • Consent — where you have agreed to a specific use (such as certain marketing or non-essential cookies).
  • Contract — where processing is necessary to provide a service you have requested.
  • Legal obligation — where we must process information to comply with the law.
  • Legitimate interests — where processing is reasonably necessary to run, secure and improve our business, balanced against your rights and expectations.

Where we rely on consent, you can withdraw it at any time (see section 9).

5. Cookies & similar technologies

We use cookies and similar technologies to make our websites work, remember your preferences, keep sessions secure, and understand how our services are used. Some are essential; others are optional and used only with your consent.

You can control cookies through your browser settings — most browsers let you block or delete them — and, where offered, through any cookie controls we present on our sites. Blocking some cookies may affect how parts of our services work.

6. How we share information

We share personal information only where it is necessary and appropriate:

  • Service providers — trusted organisations that help us operate, such as hosting, communications and analytics. They act on our instructions under contract and may only use the information to provide their service to us.
  • Legal and safety requirements — where we are required to disclose information by law, regulation or valid legal process, or to protect the rights, safety and security of people, our users or our services.
  • Business transfers — if our business is involved in a merger, acquisition or reorganisation, information may be transferred as part of that transaction, subject to this policy.

We do not sell your personal information, and we do not share it for others' independent marketing without your consent.

7. International data transfers

We operate across borders, so your information may be processed in countries other than the one you live in. Where we transfer personal information internationally, we take steps designed to ensure it remains protected and that the transfer is carried out in line with applicable data-protection law.

8. How long we keep data

We keep personal information only for as long as we need it for the purposes described in this policy — for example to provide a service, meet legal and regulatory obligations, resolve disputes and enforce our agreements. When information is no longer needed, we take steps to delete it or remove its connection to you.

9. Your rights

Depending on where you live, you may have rights over your personal information, including the right to:

  • access the information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information in certain circumstances;
  • request a copy of certain information in a portable format;
  • object to, or ask us to restrict, certain processing;
  • withdraw consent where we rely on it;
  • complain to your data-protection regulator.

10. Security

We take the protection of personal information seriously and use appropriate technical and organisational safeguards designed to keep it confidential and protected against loss, misuse and unauthorised access. No system can be guaranteed to be perfectly secure, but we work to protect your data and to respond responsibly if something goes wrong.

11. Children's privacy

Our services are not directed to children, and we do not knowingly collect personal information from children without appropriate consent. Where a product is intended for use in a setting involving young people (such as education), it is provided to and managed by the responsible organisation under its own safeguards. If you believe a child has provided us with personal information inappropriately, please contact us so we can address it.

12. AI & automated processing

AI is at the core of what we build, and we use it to power and improve features in our products. We design our services so that people stay in control of consequential decisions — meaningful decisions about you are not left entirely to automated processing without appropriate human oversight.

We do not sell your personal information, and we do not use the personal information you share in ways you have not agreed to. Where a product applies AI to your data, it works within the limits and consent that apply to that product.

13. Changes to this policy

We may update this policy from time to time as our products, practices or legal obligations change. When we make material changes, we will update the "last updated" date above and, where appropriate, provide additional notice. We encourage you to review this page periodically.
